The following rules are intended for guidance only. The rules may be amended from time to time in accordance with the necessary procedures.
1. MANAGEMENT

•  1.1The day-to-day general running of the club is devolved to the Coordinating Committee, with the supervision and guidance of the faculty in the Department of Biotechnology.
•  1.2The Coordinating Committee will include the President (5th or 6th Semester student), the Vice President (3rd or 4th Semester), the Secretary, the Publicity Officer and four other elected Members.
•  1.3The Club is expected to conduct a general meeting at least once a month, preferably on a Saturday. The records of the general meetings have to be maintained.
•  1.4All the activities and events of the Club have to be documented.

2. MEMBERSHIP

•  2.1Exclusive Membership for any Undergraduate student studying in the Department of Biotechnology during the membership tenure.

3. ASSISTANCE WITH CLUB EVENTS

•  3.1The Club will hold and promote competitions and department events.
•  3.2Every member of the Club is expected to marshal or otherwise assist in the organisation of at least one of the competitions or events organised by the Club in a membership tenure, unless there are extenuating circumstances, which render this duty impractical, or it is not required at the discretion of the Coordinating Committee.
•  3.3The Club will also release a Biannual or an Annual Newsletter and the Club members are encouraged to contribute to the same. The contribution to the Annual Newsletter is open to all college students.

4. CODE OF CONDUCT

•  4.1It is the responsibility of every Member to ensure that the Club remains a safe place, free from discrimination and biasness.
•  4.2Members failing to conform to the rules and regulations of the Club will be liable for suspension or expulsion from the Club.

PRESIDENT - The President is the figurehead of the club and provides leadership and direction to the committee. The President is responsible for ensuring that the committee fulfils its responsibilities for the governance and success of the club. As the spokesperson for the club, the President also works to maintain key relationships within and outside of the club.

The President will:

•  Call and chair all Club meetings.
•  Ensures all committee members are clear on the roles and responsibilities and that they have the appropriate means and support to achieve the Club's aims.
•  Manage the implementation and delivery of any policy and procedural needs of the club
•  Assist the Secretary in maintaining and checking the official email account as required.
•  Assist the Publicity Officer in maintaining the Clubs' social media accounts.

VICE PRESIDENT - The Vice President will support the Club president in providing leadership to the club overall including organising the committee and overseeing the performance of the club. The Vice President will step into the President's role in his / her absence and can be considered a successor when the role becomes available within the term.

The Vice President will:

•  Chair Committee meetings in the President's absence.
•  Support in leading the committee and ensuring strong Club governance.
•  Assist in the development of partnerships with other clubs, relevant social groups, agencies, potential sponsors and funding organisations.
•  Assist in maintaining and checking the official email account as required.

SECRETARY - The Secretary is the primary administration officer of the Coordinating Committee and along with the President and Vice President provides links with the committee members, and outside agencies.

The Secretary will:

•  Coordinate the production of minutes of all Club meetings.
•  Ensure regular contact is made with all members to advise of upcoming club events and activities; liaising with the club Publicity Officer or others to assist in the appropriate promotion of scheduled events.
•  Assist other committee members with the production / content of any official Club correspondence as required.
•  Assist in maintaining and checking the official email account as required.

PUBLICITY OFFICER - The Publicity Officer is the social media officer who will:

•  Coordinate the promotion of club activities and events, ensuring that all club member and interested members of the public are aware of Club's activities/events.
•  Liaise with the relevant committee members so as to best promote/advertise upcoming events for the club.
•  Develop promotional material to promote the Club and its events.
•  Maintain the Club's social accounts/platforms. Assist the Secretary in preparing reports.
•  Assist in maintaining and checking the official email account as required.

COORDINATING MEMBERS OF THE CLUB - All the Coordinating Committee members should :

•  Consult the teachers-in-charge of the Club, before finalising any idea/decision.
•  Work as a team.
•  Attend meetings punctually.
•  Arrive prepared with the agenda and relevant papers.
•  Stick to the agenda.
•  Support and encourage quieter members and discourage domination by one or few.
•  Take action on tasks identified from the previous minutes of the meeting.
•  Aim towards constructive discussion and decisions.
•  Stick to the decisions of the group.
•  Prepare and submit a report at the end of each semester to the teachers-in-charge.
